Administrative Assistant

Title: Administrative Assistant

Reports to: Senior Pastor

Schedule: 10–15 hours per week


Purpose: The Administrative Assistant provides professional administrative support to

the Senior Pastor in fulfillment of the church’s mission and vision.


Key Competencies: This position requires outstanding administrative, organizational,

interpersonal, and communication skills. The candidate will be able to manage multiple

tasks efficiently and effectively. The candidate will view this position as a ministry of

hospitality and of service.


Responsibilities:

•Assist Senior Pastor with administrative needs, including scheduling,

communications, forms, and requests for information; work in the church office

during agreed upon hours; attend a weekly staff meeting

•Serve as the church’s first point-of-contact with those outside the church via

phone, email, mail, social media, website, and other communications, to include

making updates to the church website, social media, and physical sign

•Facilitate ministry needs by maintaining a church calendar, preparing a weekly

email newsletter, preparing printed materials, coordinating prayer requests,

responding to general inquiries and requests to use church facilities, and

overseeing the distribution and reproduction of church keys

•Manage the church office by maintaining a personal information database,

account information and passwords, digital and physical records, email

distribution lists, and church directory; by ordering and organizing supplies and

equipment for church offices; and by sustaining church internet service, phone

service, and ability to print/copy/fax


Skills and Qualifications:

• Fully supports the mission and vision of Grace Church

• Two years of experience in an administrative role

• Has a positive, can-do attitude, strong integrity, and personal responsibility

• Excellent oral and written communication skills

• Proficient in Microsoft Office and Google suites

• Enjoys making things work better

• Ability to create email newsletters, social media posts, and website updates

• Ability to do graphic design for digital and printed materials

• Ability to maintain personal information with utmost confidentiality

• Ability to lift 25 pounds

• Spanish fluency preferred

sexton

Title: Sexton

Reports to: Senior Pastor

Schedule: 4 hours per week


Purpose: The Sexton ensures the safety, accessibility, cleanliness, and appearance of

church grounds and facilities to enable ministry activities in support of the church’s

mission and vision.


Key Competencies: The position requires personal responsibility, attention to detail, a

can-do attitude, the ability to do physical labor, and the ability to fix various items on

church property. The candidate will view this position as a ministry of hospitality and of

service.


Responsibilities:

- Facilitate Sunday Ministries

• Unlock and lock the facility

• Regulate indoor temperatures

• Set up and take down any pews, chairs, tables, and signs as needed

• Ensure safety, cleanliness, and accessibility of walkways, steps, ramps, doors,

and rooms

• Inspect exterior and interior for cleanliness; spot-clean and remove trash/debris

as needed

• Take garbage and recycling bins to street


- Maintain the Property

• Conduct routine maintenance and repairs for non-functioning or damaged items

• Note items requiring contractor repair; provide list to Administrative Assistant

• Maintain list of supplies needed; provide list to Administrative Assistant

• Water plants; trim branches, bushes, vegetation impeding walkways, driveways,

or wires

• Wash trash cans, bins, interior windows, exterior windows, glass doors

• Dispose of bulky items at the town dump


Skills and Qualifications:

• Fully supports the mission and vision of Grace Church

• A self-starter with positive attitude, strong integrity, and personal responsibility

• Takes pride in the cleanliness, appearance, and functionality of church properties

• Able to safely use hand tools, power tools, and gardening tools

• Able to make basic repairs around the property

• Able to bend, push, pull, climb steps and ladders, and lift 50 pounds

• Has an eye for what could be improved, and takes action to make improvements

• Has access to reliable transportation

• Spanish fluency preferred
